How to Prepare Your VA for the Unexpected
Most business owners treat an unexpected absence like a game of luck. They hope the wheels don’t fall off while they’re away. But as the saying goes, emergencies are for testing systems, not for building them.

If you want your business to stay upright while you step away—whether for a family emergency or a much-needed break—you need to prepare your Virtual Assistant (VA) today.

Here is the blueprint for protecting your capacity without being tethered to your phone.

  1. Grant Necessary Access (The Keys to the Kingdom)

    A VA can’t protect your time if they’re locked out of your tools. Before the “emergency” happens, ensure they have seamless access to:

    • Calendar & Email: To manage flow and gatekeep appointments.
    • Call Handling Systems: To filter the noise.
    • Key Client Information: So they can answer questions without calling you.
  2. Define Independent Boundaries

    Being over-ambitious is a trap. If a VA tries to handle a complex situation they aren’t prepared for, it creates more work for you later. Be crystal clear on what they can handle solo:

    Communication is the most important piece of the puzzle. You must provide guidance on what actually constitutes an emergency.

    • The Filter: Define what requires an immediate interruption (phone call/text) versus what can wait until your return (email/summary report).
