Payroll Additions
Any requests for bonuses, commissions, or additional funds to be included in payroll must be submitted in advance; for inclusion in the 15th payroll, requests must be received no later than the 3rd of the month, and for inclusion in the 30th payroll, requests must be received no later than the 18th of the month. Requests submitted after these deadlines will be processed in the following payroll cycle.
Payroll periods are from the 1st to the 15th, and 16th to the end of the month. Initial payroll period will be prorated to actual hours worked. Client will be billed for 40 hours per week and if the VA is unable to complete 40 hours Client will be billed actual hours.
For clients utilizing several VAs, HPM is pleased to offer volume discounts on pay rates, applicable to all roles other than $6.25/hour entry level and contractors outside of the Philippines. The discount will appear on the actual invoice as 10% for two VAs and 15% for three or more VAs. Any adjustments to discount amounts or qualifying thresholds are subject to review and approval by VirtuallyinCredible.

End-of-Year Bonus
In many countries, a End of Year Bonus is customary. For Clients with the Incredible Staff package, HPM will pay 100% of this End of Year Bonus, while other Clients will be responsible for a significant portion of the bonus, as outlined in their agreement at the time of signup.
Phone Tenders Credits
As a cross-client utilizing both Virtual Assistant and Phone Tenders call center services, Client may receive a complimentary monthly call center credit of $60 per Virtual Assistant unless otherwise stated in your agreement. Please note this credit cannot be combined with any other offers, nor does it carry over or accumulate each month. This credit is offered on a use it or lose it basis only.
Any usage over the amount of the credit will be billed per the Phone Tenders Service Terms and Conditions.
VA Standard Equipment Expectations
– 10Mbps Speed Internet Connection
– Computer RAM: At least 12 GB RAM Memory for Windows, 8GB RAM for Mac
– Computer Processor: AMD Ryzen 3 2200/i3, Intel 8th gen/i5 and above
– Computer Operating System: Windows 11, or macOS (Sequoia, Sonoma, Ventura, and Tahoe)
Local Phone Number
HPM defines a local phone number as a number that has local calling privileges to and from the requested area. In the event that a customer requests HPM to provision phone numbers in a requested area, it is the customer’s responsibility to provide HPM with an accurate list of Rate Centers. If the customer provides HPM a list of cities but not Rate Centers, HPM will, in good faith, explore various avenues to determine what rate center is a local phone number to the requested city.

Performance Monitoring & Holiday Adjustment
HPM utilizes time-tracking reports to verify the VA’s activity and engagement during scheduled work hours. These reports reflect basic activity levels recorded by our tracking software to help confirm ongoing engagement and performance.
From the week of Thanksgiving through the week following New Year’s, service volumes may naturally increase or decrease. During this period, HPM may adjust our standard notification thresholds by up to 35%, allowing for a temporary variance in performance metrics.
If Client wishes to maintain the regular (non-adjusted) notification thresholds during this holiday period, Client must provide written notice to vaservice@virtuallyincredible.com.
